Updating Group Name and Colors
Navigate to the Advanced Task Group Settings by clicking on the ... menu to the right of the group name, and select Edit Task Group.
Please keep in mind: in order to save any changes you make in the modal, you need to click the Save Button at the bottom of the modal, or your changes will not be saved.
Rename the group by clicking and editing the title at the top
You can edit the color of the group title to make your plan more organized by color by using the color picker to the left next to the group name.
Setting permissions for your collaborators on a group-by-group basis
Allow collaborators to add/edit tasks
If you check the box next to Allow collaborators to add/edit tasks, this option allows your collaborators to make changes/add options/and generally have almost the same permissions as a user to any of the tasks in this group.
You will see this icon on all groups and tasks in those groups that have Allow collaborators to add/edit tasks options enabled.
Private Group
If you check this box, then this entire group will be hidden from the non-licensed users that are invited to this project. Discussions will also be disabled on these groups - you will be able to type internal notes on the tasks which you will still be able to see in the discussions tab, but you will not be able to write in the public discussions anymore. Until of course you remove the private group check.
If you move a task out of a private group into a normal group, then the private group status will be removed from it.
You will see this icon on all groups and tasks in those groups that have Private Group options enabled.
Auto-Assign
Whichever role you select from this dropdown is the role that all tasks will be assigned to as soon as they get moved into the group.
Move-on-Complete
You can automate your task workflow further by setting the Move-on-Complete to another group.
How it works: If you have a multi-step task that requires hand-offs and you would like to automate it, use this feature.
Example
- You can assign the task to your client in one group (in my example the client is assigned in the group: Group Advanced Settings Demo)
- When the task gets moved into the group where the Auto-Assign is set to role: manager, the task automatically gets assigned to either the role or if there are collaborators that are assigned the role, it will automatically assign one of those collaborators
IMPORTANT: if you would like to use the Auto-Assign feature with the Move-on-Complete feature, you must remember that the Auto-Assign must be set on the same group that you select in the Move-on-Complete dropdown.
Update Due Date on Move-To-Complete
Note: You can only use this feature with the above Move-on-Complete feature.
How it works: As soon as any tasks in this group is automatically moved to the new selected group using the feature when the task is completed, a new due date will be set.
If the task is moved manually, nothing will happen, it will ONLY work if you set the Task Status to complete, then the automation will occur.
Example: if the task is completed on June 14th and you have Update Due Date set to 5 days, as soon as that task is completed, the task will be moved and then a new due date will be due on June 19th.
Update Project Status on Complete
The default selection is Disabled - this just means the feature is disabled, your project will not be set to disabled.
If you select another option other than 'Disabled' - as soon as all of the tasks in the group are completed, the status of the entire project will change to your selection.
Use Case: If your project is Off-Track because a few tasks are behind schedule.
- You can set the entire project the status of Off-Track (or any status you want)
- Organize all of the tasks that are making your project off track into one group and set Update Project Status on Complete to the status of 'On-Track' (or any status you want)
- As soon as all of the tasks in this group are completed, the project status will automatically change to 'On-Track'
Customize your Project Statuses by going to Settings > Project Statuses
Change the status of your project by clicking on the project name at the top left of any page on your project. In the modal that appears click on the dropdown that says Project Status. This modal only appears for the licensed users on the account. Collaborators do not see this.
You can see all the project statuses for all of your projects on your project list. You can also use that dropdown to change your project status.
