Understanding Project Roles
Project roles are essentially labels that you can assign to various stakeholders in a project. They help you automatically assign tasks to the appropriate individuals based on their roles. For instance, if you have a template with tasks assigned to roles you've created like Project Manager or Client, these roles will be assigned to the right people accordingly when a project is initiated.
Here's how it works:

Create Roles: Inside Settings > Project Roles, you can create roles for example IT department, Sales, Point of Contact, Client, Customer, etc
- There is a default role available called the Project Manager. This is described in more detail in the section below
- Create a Template with Roles: Designate tasks to roles such as Project Manager or Client within the template.
- Initiate a Project: When you create a new project using the template, the roles are brought in, awaiting assignment.
- Assign Roles: You can then assign individuals to the roles, and the tasks designated to those roles will automatically be assigned to the appropriate individual.
This mechanism adds efficiency, ensuring that the right tasks are assigned to the right people without manual intervention.
The Default Manager Role
The Manager Role in Coordinate has a special place. Unlike other roles that you can create, edit, or delete, the Manager role is constant and always refers to a user on your team who's the Manager of the project. Here's what you need to know:
- Auto-Assignment: The Manager role is automatically assigned to whoever is the manager from your team on the project.
- Non-Editable: This role can't be edited or deleted, setting it apart from other custom roles.
- Assign Tasks to Manager: Tasks can be assigned to the Manager, making this the default role within any given project
Use Project Roles with Templates
Navigate to any Template that you have. You can assign any task in your templates to a specific role
The benefit of doing this is if you have tasks across multiple projects on your account that will always need to be assigned to a specific role, but to different people in that role.
Once you create a new project from a template that has tasks assigned to roles, you can invite a collaborator to that project. As soon as you set a role to that collaborator, all tasks that were previously assigned to that specific role will automatically get assigned to that new collaborator.
This is a fast way to assign tasks in your projects without having to assign one at a time after you create the project.
