Invite the Interviewee and Assign them to the Task
The best way to automate this process is to create your interview questionnaire through Action Links
You do not need to set anything up ahead of time. If you have your Form, AI Agent, and Action Links set up in your account settings, you can start from a new/fresh project and click on the Action Link to begin.
- When you click on the Action Link, you will be prompted to input the email address of the person you want to interview
- Optionally, if there is a specific question you would like the AI Agent to ask, you can input it in the additional questions area. If there is nothing specific, leave it blank

When you click the Submit Form button, the interviewee will be invited to the project and the interview questionnaire task will be created and assigned to the interviewee
- The interviewee will receive an email that they are invited to a new project and assigned a task
- Their next steps will be to complete the interview
Items of note for the Project Manager

The Task automatically changes to agent processing state - the interviewee is no longer able to answer any interview questions. If you need the interviewee to redo the interview again through the AI agent, you can no longer re-assign the task to them. You will need to create a new task for them to redo the entire interview.

The Task is automatically assigned back to the Project Manager on the Project

The Project Manager may review the Task from either the My Tasks tab or by clicking on the task in the Plan tab

Some things to note in the Interview Transcript modal
- You will see a transcript of the interview on the left hand side
- The transcribed text on the left hand side of what the interviewee has said may be very different than what was actually said. Please note that the AI agent will be able to understand and reply to the responses properly.
- In my example, I am discussing ink names and Lamy fountain pens. The AI is able to understand and the blue responses reflect that, however, the grey transcribed text does not match what I said
- For example, I answered it writes well in response to what I like about Lamy pens, however, it annotated that I said 'it right well'. The AI (in blue) understood and annotated 'It writes well'
- In conclusion, do not focus too much on the left hand side grey text part, you can look at the blue AI text, but most importantly look at the article output.
- There will be a Pass or fail below the transcript based on your AI Agent settings in the Validation Questions area
- You will have some options on the right hand side of your next steps
- You will be able to Save Changes and come back to the article at any time
- You are able to Send the Article for review to the person that has the role of reviewer that is linked to the AI Agent. If no one is invited to the project with that role, you can close the modal, invite the collaborator or user with that role and re-open the article.
- You are able to accept the article without a reviewer by pressing the Bypass Review and Accept Article button
- You will see a text editor on the bottom of the right hand side. This is the article that is written by the AI Agent at the conclusion of the interview. Leave it as is or make any changes you want. If you make any changes and wish to close the modal, make sure to press the Save Changes button before closing to save your work.
- You will see a transcript of the interview on the left hand side
Invite the collaborator who is the reviewer
If you have a reviewer that needs to review, edit, finalize, and/or approve the interview, you can invite them at any time before or after the interview is concluded
- You will need to invite them before you can send them the interview for approval
- Don't forget to assign them to Role of the reviewer that is linked to the AI agent/questionnaire
Next Steps After the Interview is Concluded
The Project Manager is assigned the task first and they can optionally accept the article or send it over to a reviewer to review and/or accept.
The Project Manager can do the following options once the interview is concluded:
- Edit the article
- Assign the task to the client reviewer role to edit and/or approve the article

Assign the task to the client reviewer role to perform a cleanup interview. Please write any missing questions that were not answered during the initial interview if you are choosing this step
- Accept the article as is (before or after editing it themselves)
The Client Reviewer can do the following options once the interview is concluded:

Edit the article - If not asked to Clean Up the interview
- As the Reviewer, they have limited options than the Project Manager (if they are a collaborator, and not a licensed user)
- The collaborator reviewer cannot send the article for review, they can only edit and approve or save
- As the Reviewer, they have limited options than the Project Manager (if they are a collaborator, and not a licensed user)
- Approve the Article - When prompted by the Project Manager

Clean Up the interview - when prompted by the Project Manager
- This appears for the Reviewer to talk to the AI and answer any outstanding questions not answered by the original interviewee
- The interview process will start again for the reviewer prompting them to help clarify or answer any missing questions based on the prompt provided by the Project Manager
- Once the reviewer answers the questions, the Project Manager is assigned the task again to either Accept the Article or send it back to the reviewer to accept and/or clean up again
